Understanding order details

Here you will learn the ins and outs of customer order details

Guide

When logged into a customer's order you will see the following details

  • Bill To: The name, address, email and phone number of the account holder.

  • Ship To: The name, address, email and phone number of the person receiving the order. If you choose pickup you still require a shipping address.

  • SKU: The production SKU for the order, assuming one exists in the system

  • Qty: Short for Quantity. The amount of product the customer is ordering.

  • Item Name: The name of the item. 

  • Item Details:  The box below Item Name shows its various details such as paper type, coating type, and other special options. Sometimes some of the options may be hidden.  Clicking the blue + within the item details box will reveal the additional options.

  • Special Instructions: Any special instructions left by the customer. Options such as "use the same artwork for both sides" or "reuse existing artwork" will automatically place a note here. 

  • Subtotal: The subtotal of the product's cost prior to taxes, shipping, ect.

  • Tax: The tax charged on the order

  • Shipping: The shipping charges on the order

  • Job Discount: Any discounts applied to the order

  • Total Cost: The total amount paid including Shipping, Taxes and Discounts

  • Images for Jobs: Displays any images uploaded to order. From here you can choose to upload new files, delete existing files, or use the prepress tool to check the artwork.

  • Proof: Displays a proof of the file with safety and cut lines

  • Reassign: Move artwork to another job

  • Del: Delete artwork

  • External Cost: The external cost of the product

  • Total Weight of Job: The total overall weight of the order. Hover your mouse over this to see the box count. Click it to adjust the weight or box count.

  • WS Cost: The wholesale cost of the product

  • External Reference Number: A space to include a reference number for a vendor or for your own internal system. (Some users report using this field to coordinate scheduling of equipment by noting the specific equipment the job will be printed on and to ensure re-orders match previous orders.)

  • Job Status: The job's current status, ranging from Pending to Completed.

  • Shipping Method: The job's shipping method.

  • Ship Date: The day the order was shipped if it was shipped

  • Cust. Shipment Tracking: Display the tracking number for orders going to customer. This also sends an email to the customer and is visible on their account. Do not put internal tracking in this box.

  • Internal Shipment ID: Displays the tracking number for orders going from vendor to storefront. This does not display to the customer.

  • Internal Job Comments: Displays any comments made by administrators about the job. Selecting High Priority will change the text to red and force it to the top of the note log. 

  • Memo To Customer: Sends a memo directly to the customer's email. You can use pre-defined templates or type your own message out.

  • Flip Dimensions: Adjusts the dimensions of the artwork. (For example if a customer orders a 4x6 but their artwork is 6x4, this adjusts the order to recognize it.) This is largely automated but there may be times you need to manually adjust

  • IP Address: The recorded IP address for the person who placed the order.

  • Transactions:  A complete list of customer transactions related to this order.

  • Reorder Reminder: If the customer sets a reminder to reorder this product it will show up here.

  • Sales Rep Commision Payout Complete: Check this when doing payroll to acknowledge a sales rep has been paid for this order

  • Skip Sales Rep Commission Payout: Skips the commission payout for that pay period

  • Restrict Sales Rep Commission Payout: Prevents this order from being added to a Sale Rep's commission.

  • Resend Receipt Invoice To: Allows you to send a digital receipt for either the specific job or the entire order to the email of your choice.

  • Shipped Boxes/Tracking: Shows any boxes shipped to the customer, including tracking number.

  • Sales Rep: Shows what, if any, reps are associated with the job.

  • Relationships: Shows relationship between this job and other jobs. This includes reorders, graphic design, mailing services and other jobs. You can create a new relationship by ending the job number in the Job Number field and a description of how they are related.



Not all options appear for all roles. Please keep this in mind when setting up roles for employees.
